- Why has the invoicing for Follow-Up Services changed?
Historically, our Follow-Up Services billing and invoicing was connected to individual transactions including; inspection, sample testing, test failure, variation notice and special hourly charges. These invoices could be confusing and unclear. Our goal with this change is to make managing your Follow-Up Services easier and to allow you to budget for these costs more effectively. This new service provides:
- Simplified, inclusive pricing and invoicing
- Predictable invoicing schedule
- Why am I being invoiced BEFORE my inspection?
The UL Mark Certification fee is the cost for the authorization to use the UL Mark 365 days a year (maintaining your ongoing certification). This quarterly fee is inclusive of your inspection fees and may be invoiced before or after our Field Engineer visits your location. Variation notices and samples will no longer be invoiced separately*.
Follow-up service fees have always covered the cost of ongoing certification. In the past, our invoices were timed with our factory visits. Moving forward, we will be invoicing on a quarterly, fixed schedule.
*NSF/ANSI/CAN 61, NSF/ANSI/CAN 372, and NSF/ANSI/CAN 60 will receive separate invoices for samples. Samples will not be included in the UL Mark Certification service charge.
- What is the difference between the Annual Fee and the UL Mark Certification Fee?
Your annual fee will be invoiced as a separate line item on your first invoice of the year.
Annual Fee: The annual fee covers maintenance of client data and administrative fees related to your UL service. More information outlining this charge can be found here.
UL Mark Certification Fee: The UL Mark Certification Fee will now be billed quarterly. This fee is the cost for use of the UL Mark 365 days a year (maintaining your ongoing certification).
- Who will be impacted by the invoice change?
Selected product certification clients, from all industries, who receive UL Solutions' Follow-Up Services at their factories are included in this change.
- What is specifically changing with my invoice?
We are simplifying our invoices by providing a more comprehensive yearly service fee that covers most* elements of our certification program, including:
- Regular factory visits
- Inspection report detail
*Label material and service fees (production volume fees) are unchanged and will be invoiced each month that labels are purchased or usage (production) is recorded. *Follow-Up Services testing fees for NSF/ANSI/CAN 61, NSF/ANSI/CAN 372 and NSF/ANSI/CAN 60 will be included on a separate invoice.
- Why is the file number no longer on my invoice?
The file number is no longer used to calculate the fee, so it is no longer listed on the invoice. For reference purposes your File Number information is available on the myUL™ portal.
- Where can I find my inspection detail report?
Your inspection detail report will now appear in your myUL™ client portal.
Once you have logged in to myUL™, locate the IRs/VNs icon on the navigation bar on the left-hand side and click the Icon to open the IRs/VNs application.
From the IRs/VNs application, you can view lists of IRs or VNs and their details for the Party Site Numbers (PSNs) you are allowed to access. Note that if your organization's Master Gatekeeper or Gatekeeper has limited your access to a single PSN or group of PSNs, those are the only IRs and VNs you will be able to view.
- How will this simplified billing program affect my invoice frequency?
Moving forward your Follow-Up Services invoices will be sent quarterly. If your certification requires regular Follow-Up Services sample testing, these fees will now be included in your predictable quarterly invoice. No separate invoice will be issued. With this new service, we will no longer be charging a fee for Variation Notices. The billing of the Annual Fee for each unique applicant/manufacturer combination remains the same and will be billed on a separate invoice line. If multiple departments processed your invoices in the past, please notify them of this change.
If you have product certifications that are charged for production volumes based on label usage, invoices will be sent for each month that volumes are recorded. Common examples of monthly invoiced products are: personal flotation devices, wire/cable and roofing products.
- Will my billing instructions change?
No, we have preserved all existing billing instructions. If you need to make an update to your billing rules please visit this link.
- How will the updated invoicing benefit me as a client?
We have decided to make these improvements based on client feedback. We have received feedback that our invoices are complex and numerous. These improvements will reduce the frequency and complexity of invoices by sending them on a quarterly basis. Inspection details will still be available in the myUL™ Client Portal.
Many clients have expressed their need to know UL Solutions' Follow-Up Services costs in advance in order to accurately budget and plan for the fees associated with maintaining their UL Certification. Our new invoicing provides more transparency and predictability by billing a set quarterly amount on a quarterly basis.
- Will my price be affected?
Most clients will see little or no change to their fees due to this invoicing change. Some clients will experience decreased fees and some clients will see increased fees.
- My price changed, why did that occur?
While most clients will see little or no change to their fees, for some clients, the price may increase or decrease. In order to prepare for these invoicing updates, we recently did an assessment of your certification(s). We evaluated all client certifications to help ensure inspection and sampling frequency were in alignment with our UL Solutions' Follow-Up Services terms. As a result of that evaluation, some fluctuation in pricing occurred.
For Engineered Material Customers involved with Production Statusing, using the UL Solutions' Follow-Up Services history and the input from Manufacturers, the Applicant will be better able to identify the products which are due for UL Solutions' Follow-Up Services testing and those inadvertently added to manufacturing locations. As a result, the required UL Solutions' Follow-Up Services sample quantities to demonstrate ongoing certification can be accurately determined, allowing for better future planning of sample submittals.
- Will the sampling process change?
Our Field Engineers will assist you in selecting samples in accordance with your UL Solutions' Follow-Up Services procedures* to help ensure the UL Mark stands for integrity and quality.
*For applicable Engineered Material Customers, the introduction of Production Statusing provided visibility to which Products are in Active production at a particular location, and which are not (Sleeping or Inactive).
- Will I be affected if my service is On Call?
If you are currently On Call No Production, you will receive an invoice in January for your 2022 UL Mark Certification On Call Service and your Annual Fee.
If your production status changes at any time during 2022, your quarterly invoicing may resume*.
*Signs clients are exempt from this
- Will there be additional changes?
As we move through 2021 and into 2022, we will work with you as we develop new tools and processes to help you maintain your UL Certifications. We will continue to update you as needed.
- Who can I reach out to with additional questions?
Questions can be directed to your normal sales and customer service channels. Please contact your UL Solutions representative at ULSolutions.com/contactus. We value your business and look forward to working with you as we strive to bring greater value to our certification services.
